East Tennessee Leadership Chapter
Purpose
Plan and execute high-quality programs which expand and cultivate, in a general sense, the visions and values held and practiced within the company, and to provide, in brief highlights, knowledge about company policies, programs, and organizations which affect the membership at large.
Objectives
- Design annual program calendars around a programmatic theme.
- Develop an annual budget and control costs.
- Plan each program agenda and secure commitments from participants.
- Arrange necessary facilities and services.
- Provide timely information to chapter officers and to other committees as appropriate.
Activities
- Select theme for program year. Secure approval from the chapter president.
- Develop program calendar for the year. Keep the chapter secretary and Public Relations Committee informed.
- Develop an agenda for each program meeting.
- Secure highlighted and featured speakers and other participants as required by each agenda. Draw speakers from a list of candidates approved by the chapter president.
- Assist in logistical arrangements as required to meet the needs of guest speakers. Arrange a host for each guest to assist in executing arrangements. Document all arrangements in timely letters sent to speakers in advance of meetings.
- Obtain biographical information from guest speakers, and determine whether the speaker will allow press releases and attendance by the media. Provide such materials to the Public Relations Committee in a timely manner and to the person responsible for introducing the speaker during the program meeting.
- Arrange meeting locations and services, including food services for receptions and meals and audiovisual support for presentations.
- Plan and arrange special entertainment as included in agendas for program meetings.
- Design and administer program meeting evaluation exercises, and keep the chapter president advised of results and lessons learned.
- Prepare a budget for each program year, and ensure routine tracking of costs and attendance.
- Provide regular status reports to the chapter president and others as required by the president.
- Ensure that follow-up letters are prepared for all speakers thanking them for their participation.
- Train committee members so they will be ready to accept additional responsibility within the chapter operations.
Goals
Establishment of Program Calendar and Activities
Goal 1 - Ensure that agenda development and related commitments are completed at least three months into the future at any time.
Goal 2 - Ensure that programs presented during the program year meet the high quality standards established for the chapter and are centered on a general annual theme.
Goal 3 - Ensure that excellent relations are developed and maintained with all speakers and potential speakers contacted.
Goal 4 - Ensure that excellent relations are developed and maintained with all vendors with whom the committee does business.
Goal 5 - Implement programs that will facilitate an increasing attendance trend through the course of the year.
Goal 6 - Develop and implement a checklist for individual meeting chairs.
Budgeting and Cost Control
Goal 1 - Ensure that the total costs of program meetings do not exceed budget limits established for the program year.
Goal 2 - Define a suite of cost parameters for use by future program committees (i.e., average cost/person, etc.)
